Introduction

ANUVO Education Support Services respects the privacy of families, participants, caregivers, clinic partners, referral partners, applicants, and everyone who contacts us through this website.

This policy explains, in plain language, what personal information we collect, why we collect it, who we may share it with, how long we keep it, and the choices you have. It applies to the pages, forms, and scheduling links on this site, and to inquiries about the clinic-hosted Preferences Intervention Program.

We follow Canadian privacy expectations, including the principles in the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law. We only ask for what we need, and we only use it for the purposes described here.

Who we are

ANUVO Education Support Services ("ANUVO", "we", "us") operates this website and the ANUVO Preferences Intervention Program. We are the organization responsible for the personal information collected through the forms, scheduling links, and pages on this site.

ANUVO is a learning accessibility and educational support organization. We are not a diagnostic clinic, psychology practice, or regulated health provider. Where program delivery involves a clinic-hosted partnership, regulated clinical services remain within the scope of the participating licensed clinic or regulated professional.

Information we collect

Through our family inquiry, clinic partnership, team, and general contact forms, we may collect:

  • Parent or caregiver name and preferred contact role
  • Contact information, such as email address, phone number, city, and preferred contact method
  • Participant name and general information about the learner or person seeking support
  • General inquiry information, including how you heard about ANUVO and what you are hoping to explore
  • Program fit information, including goals, availability, and support needs shared during a 15-minute Program Fit Call
  • Referral source, if applicable
  • Scheduling information, including preferred times and any follow-up appointments
  • Consent and registration information, including acknowledgments and agreement to receive follow-up communication
  • Communication records, including emails, phone notes, and messages related to your inquiry or program participation
  • Billing or payment coordination information where applicable
  • Clinic coordination information where applicable, including the name of the participating clinic partner and any information needed to coordinate services
  • Optional attachments you upload with your inquiry, such as a brief summary or relevant background document
  • Basic technical metadata, such as timestamp, referring page, and marketing attribution, needed to route and answer your inquiry

You control what you share. Only the fields marked required are needed to respond. Please do not submit detailed medical, diagnostic, psychological, school, or clinical records through the general website form unless ANUVO specifically requests them through an approved process. A Program Fit Call or a secure, approved intake process is a better place to share sensitive information.

How we use information

ANUVO may use the information you share to:

  • Respond to your inquiry or application
  • Schedule a 15-minute virtual Program Fit Call
  • Review possible program fit and whether ANUVO's services can meet your needs
  • Coordinate with participating clinic partners where consent permits
  • Prepare intake, consent, and registration steps
  • Support program delivery and continuity of learning support
  • Communicate with parents, caregivers, clinics, or team members
  • Manage administrative, billing, and documentation needs
  • Improve program operations, clarity, and accessibility
  • Maintain records of consent and communication

Information sharing

ANUVO does not sell personal information.

ANUVO may share limited information with:

  • Participating clinic partners, where needed and where consent permits
  • ANUVO team members or approved contractors who need the information to respond, coordinate, or deliver services
  • Service providers that support forms, scheduling, email, document storage, payment coordination, or website operations
  • Legal, safety, funding, insurance, or administrative parties where required or permitted by law

We do not share your inquiry with a clinic partner without your specific permission. Where you ask us to coordinate with a participating clinic partner, we will share only what is necessary for that coordination. Service providers are only permitted to process your information for authorized purposes and under confidentiality expectations.

How long we keep information

ANUVO keeps inquiry, registration, communication, and program-related records only for as long as reasonably necessary to respond to inquiries, manage program participation, support service continuity, meet administrative requirements, and comply with applicable legal, insurance, funding, or professional documentation obligations.

If a family does not proceed with the program, inquiry information may be retained for a reasonable follow-up period and then archived or securely deleted in accordance with ANUVO's internal retention practices.

Families may request deletion of an inquiry record by contacting ANUVO. Some information may need to be retained where required for legal, administrative, billing, consent, safety, insurance, funding, dispute-resolution, or record-keeping purposes.

How we protect information

ANUVO uses reasonable administrative, technical, and organizational safeguards to protect personal information from unauthorized access, use, disclosure, loss, or misuse.

These safeguards may include secure digital storage, restricted access, password-protected systems, encrypted transmission where available, limited team access, confidentiality expectations for staff, and internal review of privacy and consent practices.

Access to personal information is limited to ANUVO team members, approved contractors, participating clinic contacts, or service providers who need the information to respond to inquiries, coordinate services, support program delivery, manage billing, or maintain required records.

ANUVO may use third-party platforms to support website forms, scheduling, email, document storage, payment coordination, program communication, or administrative operations. These providers are only permitted to process information for authorized purposes.

No online transmission, email, form submission, or storage system can be guaranteed to be completely secure. Families should avoid sending highly sensitive information by email unless requested through an approved process.

Consent

We ask for your consent when you submit a form. That consent covers follow-up about the Preferences Intervention Program using the contact method you selected. You can withdraw your consent or change your communication preferences at any time by emailing inquiries@anuvo.ca. Withdrawing consent does not affect any lawful processing that already took place.

Family rights

Under Canadian privacy law, families may request access to, correction of, or deletion of personal information, subject to legal, administrative, consent, safety, funding, insurance, or record-keeping requirements.

You may also:

  • Ask what personal information we hold about you
  • Ask us to correct information that is inaccurate
  • Withdraw your consent for future contact
  • Raise a concern about how we handle your information

Children and families

Inquiries about children are submitted by a parent or guardian. We do not knowingly collect information directly from children through this website. Program-level records that involve a learner are handled under a separate service agreement and consent process.

Cookies and analytics

We use only the analytics we need to understand how forms and pages perform. Analytics are gated by the consent banner on this site — if you decline, we do not send analytics events for your visit.

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of the page shows when it was most recently revised.
